In short
A good UGC quote fits on one page: your details and the brand's, one line per deliverable, add-ons priced separately, precise usage rights, payment terms and how long the quote is valid. It prevents misunderstandings and becomes the basis of the invoice.
Why a quote rather than a price in a DM
A price dropped in a chat gets negotiated, forgotten and argued about later. A numbered quote sets out what's included, shows you work in a structured way and becomes the reference if there's a disagreement. Once the brand signs it or accepts it in writing, it commits both sides.
The structure of a UGC quote
- Header: your name or brand, your business status, your address, your business or tax registration number, your email.
- Client: brand name, company name, address, name of the person running the project.
- Number and date: Q-2026-014, dated the day you send it.
- Subject: "Creation of 2 UGC videos for the launch of product X".
- Service lines: one line per deliverable, with quantity, unit price excl. tax and total.
- Add-ons: hooks, paid ad rights, exclusivity, raw footage, rush delivery. Each one priced.
- Usage rights: use, platforms, duration, territory (see UGC usage rights).
- Timeline: date the product arrives, delivery date, number of revision rounds included.
- Payment terms: deposit, due date, payment method, late payment charges.
- Validity: "Quote valid for 30 days".
- Totals: total excl. tax, tax or tax exemption wording, total to pay.
Priced example
| Item | Qty | Unit price excl. tax | Total excl. tax |
|---|---|---|---|
| Vertical UGC video, 30 s, edited and captioned | 2 | €250 | €500 |
| Extra hook (alternative opening) | 3 | €30 | €90 |
| Paid ad rights, Meta and TikTok, 3 months, one country | 1 | €300 | €300 |
| Total excl. tax | €890 |
If you are not registered for VAT or sales tax, the total to pay is €890 and the quote states it, with the wording your local rules require. Otherwise, add tax at the applicable rate.
Terms that protect you
- Deposit: 30 to 50% on order for a new brand. You only start once it arrives.
- Revisions: state how many rounds of changes are included (one or two) and the price of an extra one.
- Product: who sends it, by which date, and whether it must be returned.
- Cancellation: the deposit is kept if the brand cancels after the shoot.
- Late payment: late payment interest and any fixed recovery fee. Many countries set these for business-to-business invoices: check yours.
Mistakes that cost you money
- Folding paid ad rights into the base price without saying so.
- Forgetting the validity period: the brand comes back a year later with the old price.
- Accepting "a few small changes" without setting how many.
- Sending the quote without a number: impossible to find it again or link it to the invoice.
Once the quote is accepted, the invoice uses the same lines. The guide UGC invoice lists what it must include.
Common questions
Is a quote mandatory in UGC?
Usually not for a standard creative service, but it's strongly recommended: it sets the price, the deliverables and the rights, and serves as proof if there's a disagreement.
How long is a UGC quote valid?
You decide. 30 days is common; write it clearly on the document.
Should you ask for a deposit for a UGC video?
For a new brand, a 30 to 50% deposit is good practice. With a brand that always pays on time, you can skip it.
