In short
Follow up twice, no more: once 3 days after your message, and again 7 days after. Each follow-up brings something new (an idea, an example) and stays short. With no reply after the second, file the brand away and contact it again in a few months with a new angle.
Why follow up
A message with no reply isn't a no. The person was in a meeting, read it on their phone, forgot about it. A short follow-up brings your message back at the right time. A good share of replies come after a follow-up.
The 3-day, 7-day rhythm
| When | Goal | Content |
|---|---|---|
| Day 0 | Open the conversation | Opening, idea, portfolio, question |
| Day 3 | Bring the message back up | One line, something new |
| Day 7 | Last polite nudge | Leave the door open |
| After | Move on | Try again in 2 to 3 months |
What to write
Hi Lea, just bringing my message back to the top. I filmed a quick test of the "winter day" idea to give you a picture: [link]. What do you think?
Hi Lea, a last short note from me: if video content isn't a priority right now, no problem at all. I'm around if you're preparing ads for the winter. Have a lovely day!
Avoid "Did you see my message?": it gives no reason to reply.
What not to do
- Following up every day, or on three channels at once.
- Making the person feel guilty ("I still haven't heard back…").
- Sending exactly the same message again.
- Forgetting: a follow-up sent after 15 days is much less likely to land.
Never miss a follow-up again
Past ten brands, you can't keep it all in your head. Write down the date of each message and of the next follow-up, and check every morning what's due today. The guide organise your UGC business suggests a simple system. To chase a payment rather than a reply, see unpaid invoice.
Common questions
How many times should you follow up with a brand in UGC?
Twice is a good balance: one follow-up after 3 days and a last one after 7 days. Beyond that, better to come back later with a new idea.
Can you contact a brand again if it never replied?
Yes, after two or three months, with a new angle: a new product, a season, a recent video in your portfolio.
